			<content:encoded><![CDATA[<p>Several software manufacturers have published new tax tables to be effective March 1, 2012 that raise the Employee portion of Social Security back to the 6.2% withholding rate up from the 4.2% rate that has been in effect since January 1, 2011. Word on the street has it that the Tax Cut could be extended &#8211; we&#8217;ll just have to wait and see what happens as of the end of the month when the current tax cut expires.  If the tax cut for the Employee portion of the FICA tax is not extended again, employers who use an in-house Payroll software, like MAS 90/200, will need to adjust the Employee Portion of FICA from the current 4.2% rate to 6.2% for any Payrolls that happen as of March 1, 2012.  Stay tuned &#8211; we&#8217;ll let you know whether an extention to the extention passes!</p>
<p>Oregon employers also need to verify that the right amount of Oregon State Withholding Tax is being deducted from their Oregon employees. It would appear that the new State of Oregon Tax Calculations for 2012 are meant for “Withholding Wages” and not “Gross Wages” paid. The new tax calculations, combined with the new tax statuses for employees who make more than $50,000 annually but have either a 401k Plan, or a Cafeteria Plan that reduces their Withholding Wage, have resulted in employees not having enough state tax withheld. An example is an employee who makes $55,000, and has a 401k Plan that takes out $500 per month. The tax status for the employee apparently should not be one of the “more than $50,000” tax statuses, since the employee’s annual withholding wage is only $49,000 ($55,000 – [$500 x 12 months]). Please double check your employee’s withholding amounts – we’ve found many employees who are making between $42,000 and $49,000 who are only having $28 of Oregon State Withholding taken out each paycheck because of the combination of the Oregon State Tax statuses and the Withholding Wage being less than $50,000 &#8211; and that is just not enough tax being taken out.</p>

			<content:encoded><![CDATA[<p>It would appear the biggest thing in the MAS 90/200 Year End IRD is the ability to have a double digit code (like DD) print on the W-2’s, in Box 12.&#160; Folks who have Sage Extended Solutions, or BlytheApps, or DSD Modifications, or even Bennett/Porter modifications to their software, will have to reload all of those customizations after loading the IRD.&#160; Since the majority of our clients are not printing HealthCare Benefits on Employees W-2’s this year (it is optional to report healthcare coverage paid by the employer on behalf of the employee on the 2011 W-2’s, but will be mandatory for the 2012 W-2’s), we’re asking&#160; to hold off downloading the IRD for now.&#160; Many of our clients will be upgrading to Level 4.5 this spring and summer, and as a result, we’ll be loading the required double digit code as part of their upgrade.</p>

<p>In the meantime, Employers using the MAS 90/200 Payroll module can set up a Deduction Code, flagged as an Employer Contribution, to start tracking the Healthcare costs that need to appear on the 2012 W-2’s.&#160; If you need help with doing so, please give our office a call and we’ll be happy to give you your options for setting up that Healthcare Benefit!</p>

			<content:encoded><![CDATA[<p>What a January it has been for those of us who have to pay (or withhold, in the case of Employers) Oregon State Taxes.&#160; First of all, we sent an email out to clients saying that we weren’t sure whether or not the Federal Government was going to pass the Payroll Tax extension and not to do anything until we found out for sure.&#160; The tax extension did pass (at least through February!), and we received the Payroll Taxes at the end of December for our MAS 90/200 program from Sage Software.&#160; We then sent another email saying “Game On!” and starting assisting clients with their Tax Table changes in the software.&#160; Then, when the first Payrolls of 2012 were run, many of our clients reported not enough State Tax was being taking out of some Employees checks.&#160; The State Of Oregon has new filing statuses of M1, S2, and S3 this year – all for Employees whose annual salaries/wages are greater than $50,000.&#160;&#160; In several cases, Employees using these filing statuses who were supposed to have between $95 and $105 withheld for Oregon State Taxes, only had $24 to $28 withheld.&#160; So – yes, it’s true – another email went out saying “Hold on!&#160; Something is wrong!” and we stopped loading the new 2012 Tax Tables.</p>
<p>Sage republished the Payroll Tax Tables for the State Of Oregon on January 9th (they had to add a new calculation step in the Payroll Tax Tables) and we once again sent out an email saying “Play Ball!”.&#160; Although it looks like everything works as it should, there appears to be an oddity with employees who make more than $50,000 in wages, but who have a Cafeteria Plan or Pension Plan that reduces their Withholding Wages down to $42,000 to $44,000.&#160; Stay tuned – we’re not sending another email out just yet – but we reserve the right to do so!</p>
<p>And just think:&#160; We might be doing this all over again at the end of February!&#160; As one of my very close friends would say “Oy Vey!”</p>

<p><strong>2011 VAR Stars</strong> have a practice involving the sale of mid-market financial software and while most derive significant revenue from other sources, accounting software is the core to their business.</p>
<p> Revenue is not a factor in selection and VARs are not rated. The No. 1 and No. 100 members of this list have equal standing. Factors taken into consideration included growth, industry leadership and innovation. There are very large and very small dealers in this list. An effort was also made to selects resellers who represent a broad range of products.</p>
<p> This year, VAR Star candidates were asked what they have done to respond to the economic conditions. Several common areas emerged from those VARs who commented (not all provided this information.) Few of these were surprising, but all are important.</p>
<p>They are as follows:</p>

<li>Diversifying product lines.</li>
<li>Holding onto talent.</li>
<li>Maintaining or increasing marketing budgets.</li>
<li>Performing mergers and acquisition.</li>
</ul>

<p>SOUND TOO GOOD TO BE TRUE?  – Not really.  However, as with any upgrade, we urge you to advance with a bit of optomistic caution.  We urge you to not upgrade to Level 4.5 without assistance.  We have years of experience moving clients from one version to another.  Let us guide you through necessary steps to ensure your upgrade is completes sucessfully.   Typically, we virogously test new releases first before we subject them to our clients.   Once we are satisfied that level 4.5 is stable with last minute modifications and fixes, we will happily be asking our clients to upgrade to it if they wish to do so. 			<content:encoded><![CDATA[<p>My Mom was coming to visit Portland and the Oregon Coast from the desert Southwest last month when she fell ill and didn’t want to subject everyone on the plane to whatever sickness she had.&#160; I called the airline she was travelling on in order to change her ticket, and after being transferred, I was told that unless I changed the ticket online, not only would I have to pay the $150 change fee, but another $75.00 for speaking to an airline representative.&#160; I told them “Thank you, but I’ll book it online.”&#160; Could I find where to make a change to a reservation?&#160; Heck no!&#160; I could book a new reservation, use mileage, check flights, upgrade to a different fare class,&#160; but could I change an existing reservation?&#160; Nope – that option was no where to be found!</p>
<p>So, I called the airline back, asked how to change an existing reservation online, and was told that I would need to speak to someone in Customer Service.&#160; After explaining what it was I was trying to do (for the second time in this phone call) I was transferred to another specialist, who told me that I needed to speak to a &quot;web specialist”.&#160; (You’ve all called the airlines – by now I’m 45 minutes into the phone call waiting to speak with the appropriate person.)&#160; When I eventually did get to the web specialist, he told me that he couldn’t help me – he could only help me if I was having internet issues, or a specific website issue .&#160;&#160;&#160; (I thought I was having a specific website issue, but apparently that was a matter of opinion.)&#160; While holding all over again for yet another person to speak with, I finally figured out that by pulling up the existing online reservation, going all the way through the reservation to the end, I could actually change the dates and use my credit card for the $150 fee.&#160; </p>
<p>My&#160; point is, over the course of two phone calls, I ended up speaking to 6 people.&#160; I’m wondering if they still think it was worth $75.00 to have me make the change online, since my future travel plans will include attempting to avoid this airline altogether.&#160; If someone had just told me to pull up the existing reservation, go through it, and at the end I’d have an opportunity to change the dates, it sure would have improved my opinion of the airline.&#160;&#160; In this case, not only did the “rule” of having a charge for speaking to a live person seem silly (since I had to speak to 6!), but the Customer Service aspect went right out the door.&#160; Most times rules do need to be followed, but then there are those times when someone just needs to step back and say “Is this reasonable?”&#160;&#160;&#160; Speaking to 6 people to avoid being charged by 1,&#160; simply wasn’t reasonable!</p>

			<content:encoded><![CDATA[<p>I’ve processed quite a few W-2’s this year using Aatrix Software, which has connections to various accounting software packages to print W-2’s and 1099’s.&#160;&#160; Aatrix also electronically sends and files those W-2’s / 1099’s (and the corresponding W-3 / Form 1096) to the Feds (and the State as well, where State Reporting of the W-2’s / 1099’s is a requirement).&#160; And, while I’m not one to read manuals (even if there is one, I didn’t see it!), I didn’t need to with this software.&#160;&#160;&#160; In MAS 90/200, Aatrix shows on the Payroll menu as “Federal eFiling and Reporting” and “State eFiling and Reporting”, while in Accounts Payable the menu item is called “Form 1099 eFiling and Reporting”.&#160;&#160;&#160; Aatrix has to be loaded onto an individual workstation, and in the case of Sage’s MAS 90/200 program, it is on your MAS 90/200 CD as a separate installation from your MAS 90/MAS 200.&#160; (Mind you, I couldn’t do the installation by myself, and there are some technical tricks to using it with MAS 200 since MAS 200 has some issues related to launching a browser, but once loaded,&#160; it really is easy to use.)&#160; Basically, it shows your MAS 90/200 Employee Payroll numbers and/or Accounts Payable 1099 Vendor data in a spreadsheet format and asks that you confirm each column of numbers before it prints the W-2’s/1099’s.&#160; You can go into and out of the spreadsheet as many times as you want, to confirm that what you will be uploading for the annual reporting requirements is really what you want to upload.&#160; And, you can adjust the numbers on the spreadsheet without having to make the adjustments in MAS 90/200.&#160; I found that particularly helpful in checking or un-checking the flags for the “Retirement Plan” box on the W-2’s.&#160; Or the “Third Party Sick Pay” box.&#160; Or putting numbers in the “Dependent Care” box.&#160; (But, I digress.)&#160; Suffice it to say, it sure makes the year end processing of the forms much less scary.&#160; You also have the option to print the Employee/Vendor copy of the W-2’s and 1099’s on perforated paper to hand out yourself, or Aatrix offers the service of printing and mailing them for you.&#160; We had quite a few clients take advantage of that service this year, as monetarily it is less expensive than if they purchased the forms themselves, printed them, and then had the additional postage expense of mailing them out.&#160;&#160;&#160; </p>
<p>And, with the State of Oregon requiring that any employer who has 50 or more 2010 W-2’s&#160; to file electronically to the State this year&#160; (for the first time ever), Aatrix just makes it easy to do.&#160; Even if you printed your W-2’s yourself, you can use the Aatrix service to upload the State Copies in the format the State requires, at the cost of .69 cents per W-2.&#160;&#160; Just a note – you must be using Level 4.3 or 4.4 of MAS 90/200 in order to use Aatrix,&#160; you have to be registered to access the Sage Website to use the software, and you also have to have a current Sage Subscription as well.&#160;&#160;&#160; </p>

			<content:encoded><![CDATA[<p>I’ve been following a Linked-In discussion that basically talks about the challenges surrounding business software these days.  As software has become more and more complex, our Consultants have to ask probing questions before they can just answer a “quick” question.    (Reminds me of those multiple choice questions in college – you know, the ones where you say “If this is the situation, then the answer is B.  But, if this, then the answer is A.  And, if this, then the answer is C.”  But you just have to choose the answer you think is the best – depending on how you interpreted the question.)</p>
<p>Things just aren’t as straight forward as they might seem in the world of accounting/distribution/manufacturing software.  We had a consultant years ago that our clients loved.  Absolutely loved.  And the reason they did is that she only gave them one answer, without any probing questions.  When someone asked, “How do you reverse a check in Accounts Payable?”, she told them the easiest way to do it.  It wasn’t necessarily the correct way for their purposes, but it was the quickest way.  The correct answer should have been a series of questions, such as “Do you want to reverse the check totally and just credit back the expense/asset account that was originally charged?   Do you want to set the Payable back up because the check was never received by the Vendor?    Are you reversing the check because the Vendor owes you money and you want to credit off the Invoice you were originally paying?”  The correct answer, instead of just telling clients the most popular way to reverse a check, should have involved the question of <em><span style="text-decoration: underline;">why</span> </em>the client wants the check reversed.  That’s where the consulting part of our job comes in.   The problem is, not all clients want us to ask those probing questions.  They just want the answer.  Kinda like my stepdaughter twenty years ago, who I thought I was helping with her math problems by asking different questions to help her get to the right answer.  She finally slammed her book shut and said “I don’t want to know how to do the math problem, I just want the answer.  If you’re not going to give it to me, I’ll just get it from someone before school starts.”</p>
<p>Ours is a fun, but often challenging, job.  If we quickly answer a question without asking probing questions (“And, why do you want to change all of your Inventory Items from a Standard Cost Valuation to Average Cost?”) we could really have a negative impact on their business.    And sometimes if we answer the question quickly, as the client wants us to, it has a negative impact on our business as well.  Over the years, we’ve had several of the “Your staff messed this up – you have to fix it.”  We have had situations where we’ve answered a question in 5 minutes and then spent 2 days of a programmer’s time fixing the problem at no charge because we answered a question too quickly – without finding out the “why”.    And obviously no one can stay in business very long doing that.</p>
<p>So, as annoying as it might be, “probing” questions help us get clients the “right” answer for their particular situation.  And often times, while the question can be asked in less than 10 seconds – the answer takes a lot longer than that!</p>

			<content:encoded><![CDATA[<p>For Oregon Employers who have 50 or more W-2’s for 2010, this is the first year that W-2 information has to be provided to the Oregon Department of Revenue via an electronic file called iWire.  When asked why employers have not been notified about the requirement via U.S. Mail, a representative from the State cited “budget cuts”.   The State has had the requirement posted on their website for 2 years (does anyone go to the Oregon Department of Revenue website to read announcements?  And how would we know they’re there to read?) and they’ve also printed the requirement it in the booklet sent out annually that contain the Quarterly Tax Forms.  What’s that?  You use Otter, and so you don’t receive the printed booklet anymore?  Osmosis.  Apparently that’s how you’re supposed to know about the new iWire requirement.   While it only affects Employers with 50 or more W-2’s for 2010, in 2011 all Oregon Employers (regardless of the number of W-2’s to be filed) will be required to use iWire for 2011 filings.  Attached is the <a title="iWire FAQ and Troubleshooting" href="http://www.oregon.gov/DOR/forms/business/iwire-faq-troubleshoot.pdf" target="_blank">Frequently Asked Questions document about iWire </a>from the Oregon Department of Revenue.</p>
